Use AI inside the email and office tools you already pay for: which AI tools people use, and a simple workflow
"I don't want another subscription."
Tools that fit this job
Listed in no ranking order. Each line states only what the vendor's own page says. Prices are on each tool page with a source and date.
- Gemini (Google AI plans and Google Workspace): Google Workspace Starter lists the Gemini assistant in Gmail; Standard adds Docs and Meet.
- Microsoft 365 Copilot: Copilot Chat is listed as included with eligible Microsoft 365 plans; the Business add-on costs extra.
- ChatGPT: If you only need occasional help, the Free plan may be enough.
Free-first tip: try the free plan, or the AI that comes with software you already pay for, before buying anything new. Do not install a pile of tools; start with one.
A simple workflow
This workflow is our own suggestion, not vendor documentation.
- Check your current plan page for AI features before buying anything new.
- Try the built-in assistant on one real task for two weeks.
- Write down what it saved you, in minutes.
- Compare to the cost of the add-on or a separate subscription.
- Cancel anything you did not use.
Copy-paste starter prompt
(No special prompt) Use the assistant button in your email or document. Ask it for a first draft, then edit.
Watch-outs
- Promotional prices end. Ask what the regular price is.
- Your business plan may have stronger data terms than a personal account; use the work account for work.
