Automate follow-ups and repetitive tasks: which AI tools people use, and a simple workflow
"The pain is remembering to follow up."
Tools that fit this job
Listed in no ranking order. Each line states only what the vendor's own page says. Prices are on each tool page with a source and date.
- Zapier: Connects apps; Free is 100 tasks/month with two-step Zaps. Professional adds multi-step Zaps.
- Microsoft 365 Copilot: If you live in Microsoft 365, ask what Copilot already does before adding another tool.
- Gemini (Google AI plans and Google Workspace): If you live in Google Workspace, check what Gemini already does in Gmail and Docs.
Free-first tip: try the free plan, or the AI that comes with software you already pay for, before buying anything new. Do not install a pile of tools; start with one.
A simple workflow
This workflow is our own suggestion, not vendor documentation.
- Write down one task you repeat weekly (for example: new inquiry arrives, then reply, then add to a sheet).
- Build only that one automation. Two steps is enough to start, which fits Zapier's free plan.
- Let it run on test data, then on real data for a week while you watch.
- Check the task counter. A step counts as a task each time it runs.
- Only add a second automation after the first one has run cleanly.
Copy-paste starter prompt
Help me design a 2-step automation. Trigger: [new form entry]. Action: [add a row to my sheet]. List what could go wrong and what I should test first.
Watch-outs
- Automations that email customers can go wrong at volume. Keep a human approval step until you trust them.
- Set a spending limit or turn off pay-per-task billing so a loop cannot run up a bill.
